AUX FHTN Scope of Activities
The AUX FHTN team MUST be prepared to
offer services such as
Field photographer,
Assisting in filling out FHTN forms
Promoting FHTN to the troops for active participation,
Secretarial support chores to get the FHTN forms filed with the Navy
FHTN Center for publication.
Each and every step is critical to the
end result of a published FHTN release for a Gold side Coastie or an
Auxiliarist.

Manually fill out an FHTN
form (or use a typewriter), get the appropriate signatures, keep the
original form and mail a copy.
- Fill in the online FHTN form, print out the
completed form and have the form signed by the individual and the Command.

If the form is to be emailed, SCAN in the completed and signed FHTN
form.
It can be submitted as
a jpg file, compression of 1 to 10 is acceptable. Form
information should be readable. Maximum file size is 10
MB. Adobe pdf files are also acceptable.
Submission of Forms to FHTNC
In all cases
keep the original on file and mail a copy of the form. (The signed
FHTN form is valid for use for one year from the date signed).

Remember that if the
file is too large, the system may reject the attachment.

Please note: If
you are helping an active duty PA generate a hold file through the
mail, be aware that the FHTN forms should be sent to the FHTNC in

Submission of Photos to FHTNC

photos to
FHTN@Navy.mil
Name photos with the Coast Guard unit identification code,
which is OPFAC, and the last five digits of the subject's social
security number, e.g., OPFAC-55555. The same
numbering system applies to for Coast Guard Auxiliary submissions.
State in the email that the attached
photo is to be matched to the mailed or faxed form.
Standard photo file
format for digital photos is .jpg, dimension 7" X 5", at 300 dpi
(portrait style). Jpeg compression of 1 to 10 is acceptable.

Send hard copy photos
attached to the FHTN form and the Center will do the scanning and naming.
For hard copy photos, FHTNC prefers black and white prints no larger
than 2 2/4 by 3 3/4 inches (wallet size). Subject's last name
should be printed on the back of the photo with a soft lead pencil
or felt-tip marker. Photo should be placed in a protective envelope
which should be stapled to the FHTN form so that the print may be
easily removed without removing the staples. Please see
photographic
guidelines, below.
Submission
of Releases or Updates to FHTNC
E-mail releases or updates for
participating service personnel directly to the Fleet Liaison, FHTNC
at
FHTN@Navy.mil.

If there is a hold file, you
can send in regular submissions.

For an
individual submission, just e-mail the specifics.

For an award, forward a
copy of the citation, by email or mail. If the FHTNC already has
the FHTN form, they can process the individual release.
If it is an individual
award, for which no FHTN form is on file, have the service person fill out the form and attach a copy
of the citation (if not an award, check the appropriate block on the
form--
for reenlistments and retirements, annotate the number of years). For
a more detailed story on retirements, give the last three duty
stations and billets and their personal awards.
Photographic
Guidelines for FHTN Pictures
The photograph of a
subject for FHTN can be either
a formal or informal portrait. The most
important aspect of an FHTN photograph is for
the face of the subject to be
clearly identified. When more
than one person is in a photograph, the emphasis
should be placed on the subject of the story.
Here are a few tips that should help your
FHTN features get released:
Do not submit photographs that could be
embarrassing to the subject or to the Coast
Guard. Fill the photograph with
the largest practical image
size and "tighten up" two or more
subjects to avoid unwanted space between
them.
Ensure the subject is properly attired for the
task at hand.
Ensure the background is suitable for the
photograph.
Avoid photographs where the subject appears
to be posing (except for a formal portrait).
Use lighting that does not conceal
large portions of the
subject's face.
Since text
in a newspaper and other
periodicals is in columns, vertically composed
photographs are preferred by editors.
Hints for getting the identification
RIGHT. If you are shooting the photo, use a digital camera, and have
the subject hold a 8.5 by 11 inch sheet of white paper labeled with a
BOLD felt pen with their last name and last five digits of their SS
number, then take the desired photo. Make sure that the subject
holds the ID sheet so that the photo will be usable when the sheet is
cropped out. That way when you are back home, or
in the office doing twenty releases, you can positively match the
subject to the correct FHTN form. If you are photographing in the
field you can note the frame number of the digital photo on the back
of the FHTN form. Use whatever system works to ensure that you
match the photo with the right identification number.
